Make sure department staff who will prepare hiring requests has access to eHire. Request for system access if necessary.
Summer Sessions reviews the request and emails an Agreement Letter to the proposed hire via DocuSign, copying the requestor and optional backup person(s) noted on the request. Check the letter for accuracy and notify Summer Sessions of any discrepancies.
The proposed hire signs the Agreement Letter via DocuSign. Department Requester will be notified when DocuSign has been completed. If the proposed hire is having issues or questions about DocuSign, direct them to contact Summer Sessions.
Once the Agreement Letter has been signed, confirm if there is an existing “Active” appointment overlapping with the start date of the summer appointment. If the active appointment overlaps with the start date of the summer appointment, do not request to terminate the active appointment until the summer appointment is added.
In the case of a new hire or rehire, onboarding must be completed by the Regional staff supporting the department's hires.
Department Requesters are able to view the status of each hire request as it moves through the process online.
New or returning instructors can obtain their CalNet ID and a photo ID (Cal 1 Card) the day after the appointment has been entered into UCPath and processed by UCPC. The appointments are entered in UCPath once pertinent hiring paperwork are completed, starting with the signed Agreement Letter. Once they obtain CalNet ID, they will have access to bConnected (email and calendar) and bCourses.
Advise the faculty/instructor to read the Attachment A of their Agreement Letter for important information regarding Academic Student Employees (GSIs, readers, tutors).
