Submit the Acting Instructor-Graduate Student request directly to the Graduate Division. The approval of this request must be received before the Agreement Letter can be generated.
Make sure department staff who will prepare hiring requests has access to eHire. Request for system access if necessary.
Submit the hire request at least two months before the start date of the appointment. Please note that verbal agreements or promises between departments and potential hires are not encouraged. Summer Sessions will not accept financial responsibility if such agreements should occur for unapproved appointments.
Upload a copy of the approval from Graduate Division/COCI to the Google Drive folder and make sure to name the file to include the department and the proposed hire's name.
Summer Sessions reviews the request and emails an Agreement Letter to the proposed hire via DocuSign, copying the requestor and optional backup person(s) noted on the request. Check the letter for accuracy and notify Summer Sessions of any discrepancies.
Once the Agreement Letter has been signed, confirm if there is an existing “Active” appointment overlapping with the start date of the summer appointment. If the active appointment overlaps with the start date of the summer appointment, do not request to terminate the active appointment until the summer appointment is added.
In the case of a new hire or rehire, onboarding must be completed by the Regional staff supporting the department's hires.
Department Requesters are able to view the status of each hire request as it moves through the process online.
